Jungle Tech Corporation – Clear Desk & Clear Screen Policy
-
Version: 1.0 | Last Updated: March 13, 2026
-
1. Purpose
-
The purpose of this policy is to establish a culture of security and professional responsibility at Jungle Tech. By ensuring that sensitive information is not left unprotected, we reduce the risk of unauthorized access, data loss, or intellectual property theft.
-
2. Scope
-
This policy applies to all Jungle Tech employees, contractors, and visitors, whether working in the main office, a shared co-working space, or a remote home office.
-
3. Clear Screen Requirements
-
Automated Lock: All computers (laptops and desktops) must be configured to automatically engage a password-protected screen saver after a maximum of 5 minutes of inactivity.
-
Manual Lock: Employees must manually lock their screens (e.g., Win + L on Windows or Cmd + Ctrl + Q on Mac) every time they leave their workstation, regardless of how long they intend to be away.
-
Sensitive Data: Monitors should be positioned so they are not visible to unauthorized persons, windows, or high-traffic common areas. Privacy filters must be used when working in public spaces (e.g., cafes or airports).
-
Meetings: At the conclusion of a meeting (in-person or virtual), all shared screens must be closed, and whiteboards containing sensitive diagrams or code must be erased.
-
4. Clear Desk Requirements
-
Sensitive Paperwork: Hard-copy documents containing Confidential or Restricted information (such as customer data, trade secrets, or financial records) must be removed from desks and stored in locked drawers or cabinets when the workstation is unoccupied.
-
Passwords: Passwords, PINs, or MFA codes must never be written on sticky notes, desk pads, or kept in plain view under keyboards.
-
Removable Media: USB drives, external hard drives, and encrypted VR hardware prototypes must be secured in a locked drawer at the end of each business day.
-
Clean Workspace: At the end of the working day, employees must ensure their workspace is clear of all sensitive information. Only non-sensitive items (e.g., monitors, keyboards, personal items) should remain on the desk.
-
5. Secure Disposal
-
Shredding: Any paper documents containing sensitive Jungle Tech or partner information must be disposed of using a cross-cut shredder or a designated secure shredding bin. They must never be placed in standard trash or recycling bins.
-
Hardware: Any faulty or decommissioned storage media (SD cards, SSDs) must be handed to the Security Lead for secure physical destruction.
-
6. Physical Security of Hardware
-
Laptop Security: When working in public or shared spaces, laptops should never be left unattended. In the office, laptops should be taken home or secured in a locked locker/cabinet overnight.
-
Keys: Keys used to access secure lockers or cabinets must not be left in locks or in unmonitored desk drawers.
-
7. Compliance and Monitoring
-
Spot Checks: The Security Lead may conduct periodic, unannounced "walk-throughs" to verify compliance with this policy.
-
Non-Compliance: Repeated failure to adhere to clear desk and clear screen standards will result in a security coaching session and may lead to formal disciplinary action.
